Appointment Checklist

We often have clients asking us what they need to bring to their tax appointment, so we have crafted the list below of some common tax documents/information to bring to your appointment.  Some will apply to you, but others may NOT. 

 

​**TIP: Also check your previous year's tax folder to see what documents you needed last year.**

SOURCES OF INCOME

  • W-2, 1099-MISC, and/or 1099-NEC from ALL of your jobs last year

  • Self-employed/1099 workers: all 1099s, last year 12 months total business income & list of business expenses

  • EDD Unemployment, or disability/maternity/family leave benefits (Form 1099-G)

  • Social Security benefits (Form SSA-1099)

  • Any 1099s from a rent relief program or grant

  • Rideshare or delivery drivers - Annual Tax Summary from your drivers app and any 1099s received

  • Online sales business (ebsy, etsy, shopify, etc.) - Form 1099-K, annual seller's report, and list of business expenses including inventory & shipping costs

  • Gambling win or loss (all W-2Gs and Casino win/loss statements from each casino)

  • Interest earned (from savings, CD, etc.) or Bond redeemed (Form 1099-INT, 1099-DIV)

  • Debt Forgiveness/Cancellation, Bankruptcy, Credit Card or loan waived (1099-C)

  • Distribution, Rollover, or Repayment from Pension, 401K, IRA, or Annuity (Form 1099-R)

  • Sold or bought a home or rental property in the tax year? (Closing escrow statement, 1099-S for sale)

  • Form K-1 (for owners/partners of a Corporation/LLC/Partnership with taxes filed by another accountant)

  • Stocks, Cryptocurrency, Mutual funds - any sale, transfer, dividend, reward, or conversion might be taxable

    • you must provide an Annual Tax Summary, Gain/Loss report, 1099-Div, 1099-OID, 8949, and/or 1099-B.

    • A "transaction summary" is not enough, so you may need to use additional crypto accounting software (e.g., CoinTracker or Koinly) to produce the necessary IRS forms. You must do this BEFORE your appointment.

    • You can email us these forms (before your appointment) instead of printing.

    • These often are not ready until late-February, so please schedule your appointment accordingly

DEDUCTIONS

  • Paid for college or university tuition? (Form 1098-T)

  • Paying student loan interest? (Form 1098-E) 

  • Own a home? Mortgage Interest (Form 1098) and Property Tax payment records

    • you may have multiple statements if you have re-financed or sold/purchased last year

    • if your property tax was paid with your mortgage, you may also have Form 1099-INT

  • Tax-deductible Donations

  • DMV Vehicle Registration

  • Childcare or dependent care expenses - for children up to 12 years old; you must provide the school/program/care-provider's name, address, phone, SSN/EIN, and amount paid

  • Medical expenses - hospitals, doctors, prescriptions, etc. that have not been reimbursed by insurance

  • Other itemized deductions

​OTHER IMPORTANT ITEMS

  • New clients: you must provide a copy of your prior-year tax returns

  • Proof of Health insurance coverage (Form 1095-A or -B or -C) - NOT your insurance card

    • this is REQUIRED for California residents to avoid a penalty

    • Even if you only had 1 month of Obamacare/CoveredCalifornia, we need Form 1095-A

  • New child, spouse, or dependent: full name, social security number, birthday, address, & phone #

  • Identity Protection PIN # from the IRS for you or your dependents (if applicable) - this will be mailed ot you in January if you need it. It will also be found under your profile section of your ID.me account at IRS.gov.

  • Records of any estimate taxes paid to the IRS or state

  • Electric Vehicle Purchased in the tax year - must provide the purchase agreement

  • Solar Panel (or other alternative energy) upgrade to your home - must provide contract/purchase agreement

  • Certain energy-saving home improvements are now eligible for tax credits. For example, certain, windows, skylights, doors, insulation, roofing, water heaters, heat pumps, etc.

  • Damages/loss due to federally-declared disaster (e.g., wildfires) if not completely reimbursed by insurance

  • Updated bank account # and routing # if you would like to receive your refund by direct-deposit​

RENTAL PROPERTY OWNERS/LANDLORDS

  • Amount of rent collected from tenants last year

  • Mortgage Interest Statement (Form 1098)

  • Property Tax payment records

  • Any improvements, repairs, construction

  • Maintenance costs, such as handyman, janitor, gardener, etc.

  • HOA fees paid

  • Management company fees or commissions

  • Relocation expenses paid to tenants (if applicable)

  • 1099s received from government programs (such as Section 8) on behalf of your tenants

  • ​Purchase or sale of property in the tax year? Provide the Closing escrow statement, 1099-S for sale, closing costs, and summary of improvements/upgrades done during ownership.

BUSINESS OWNERS - this includes sole proprietors (DBA), corporations, LLCs, partnerships, etc.

  • 12 months worth of business bank statements from all business accounts. Let us know if there is non-sales income included (e.g., deposit of personal funds, loan funds, grant funds, etc.).

  • Any 1099s YOU RECEIVED, such as 1099-MISC, 1099-NEC, or 1099-K from merchant/credit card processor

  • online sellers: annual sales report showing gross sales, selling fees, shipping costs, sales taxes, etc.

  • New corporation or LLC info - unless we filed the original documents, make sure we know about it by February so we can verify that the paperwork is complete and file any necessary extensions

  • Closed your business during the year?

  • 1099-K from your merchant service provider (credit card machines or online payments)

  • Any 1099s YOU ISSUED to you vendors or subcontractors

  • Any business grants, relief, loan, or other assistance received in the tax year

  • Annual payroll records if you use a payroll service other than us (Forms W-3, all W-2s, Form 940). Also, mention any payroll tax credits claimed, including ERC, sick leave, R&D, etc.

  • Business assets bought or sold (e.g., equipment, vehicles, computer, furniture, tools, or other property)

  • Inventory or materials purchased

  • Summary of business expenses including (but not limited to) rent, utilities, telephone/internet, licenses, taxes, advertising, insurance, legal fees, janitorial, printing, office supplies, shipping, repairs, etc.

  • Auto expenses - business mileage driven, lease/financing payments, auto repairs, parking, insurance, etc.

  • If we do your business bookkeeping, we will already have most of this information, making your tax appointment a lot easier!

  • Business tax filing deadlines (assuming no additional or emergency extensions):

    • S-corporation and LLC taxes are due March 15, but we can extend to September 15th

    • C-corporation taxes are due April 15th, but we can extend to October 15th

    • Sole Proprietorships (DBA) - due same as personal taxes (April 15th, extendable to October 15th)

    • Note: even if extend the time to file, the tax payments are due on the original dates and will begin to accumulate penalty/interest from those dates (i.e., March or April 15)
